Ideal candidate is experienced in planning and executing meetings and events of varying sizes and scope.  Event Planner thrives in a fast-paced, ever-changing environment, possesses outstanding customer service and communication skills, is organized and able to multi-task and re-prioritize as direction and goals shift, ability to drive team collaboration as well as work independently, driven by deadlines and high expectations both creatively and consistently and is passionate for people and putting smiles on faces.

  • Contributes to and supports the planning, creation and execution of industry, consumer and corporate meetings and events.
  • Plans and supports company-wide meeting and events with varying levels of complexity and diversity internally and externally for our parent company and subsidiaries
  • Drives cross functional communication in support of company policies and processes
  • Responsible for on-site coordination and supervision of vendors to ensure seamless execution of events
  • Oversees varying aspects of event management to include attendee registration and travel, hotel room list management, meeting/conference management, production, team building, transportation and related event details.
  • Creates and distributes event communications, travel arrangements and important event details
  • Supports development and maintenance of registration and meeting/event management tools
  • Controls vendor spend for corporate meetings and events, manages larger event budgets
  • Provides project management support to include project plans, task lists, function orders, invoice processing and reconciliation
  • Responsible for following all approval, requisition and contract procedures and working with cross-functional partners to process a high volume of requests
  • Researches vendors and venues in various locations, conduct site visits and make recommendations
  • Contributes to the strategic planning and development of evolving company policies and process as related to Corporate Events

Qualifications & Requirements
  • Minimum 5 years event
    management, or related, experience (hospitality industry preferred)
  • Strong writing and
    communication skills
  • Strong budget management/event
    reconciliation skills
  • Independently plans
    meetings and events, providing recommendations and support to internal
  • Experience with facilities management, audio-visual, room layouts and
    design, production, staging, and on-site execution, menu planning
  • Knowledge of hotel
    & supplier contract negotiations
  • Ability to work effectively in a highly confidential, fast-paced
    environment with fluctuating priorities and deadlines
  • Experience with event registration platforms, attendee communication
    platforms such as Cvent
  • Familiar with transportation planning and management with relation to
  • Excellent
    organizational skills and attention to detail
  • High level customer
    service experience
  • Excellent judgment,
    discretion and decision-making skills
  • Excellent PC skills
    (Windows, Word, Access, SharePoint and Excel preferred)
  • Ability to relay
    information with tact and diplomacy
  • Strong presence of
  • Undergraduate degree
    in Business, Marketing, a related field or equivalent
  • CMP – Certified Meeting
    Professional (or equivalent) preferred
