Job Description
Data Entry Coordinator

EHS Data Entry Coordinator

Vendor shall provide the following data entry coordination service to support the global environment health and safety program team:

Assisting in team meeting agenda, meeting notes, actions item tracking, and internal communications.

Support maintaining project management tooling and tracking.

Aiding in the management, tracking, and follow up of assessment action items and observations tracker (e.g. Tasks).

Tracking team budgeting and PO expenditures.

Coordinating meeting schedules.

Managing team compliance calendar (e.g. tracking standard revision dates, etc.)

Formatting of global documents (e.g. creation of fillable PDFs, transferring content to templates, etc.)

Updating documentation, standards, spreadsheets, and processes based on content provided by Facebook.

Consolidating and analyzing data (e.g. centralizing training catalogue by consolidating multiple lists, ensuring consistency in document titles across multiple tools, etc.)

Distributing global materials (e.g. mail safety materials to various sites, etc.)

Maintaining team wiki pages.

Developing presentations, charts, slides, etc. to support communication (e.g. project updates, EHS concepts, best known methods, etc.)

Developing team communications based on provided content (e.g. monthly Spotlight, management of change document, etc.)

Supporting technical, operational, and strategic processes in the learning management system (e.g. Cornerstone).

Resolving tooling quality issues (e.g. bugs reported by users, sending email reminders, updating enrollment status, etc.)

Driving updates, changes, and resolving issues in data management system tooling (e.g. SharePoint, Enablon, etc.).

Reviewing operational records.

Validating quality of incident data and ensuring dashboarding functionality.

Reviewing program documents for technical document writing and editing perspective. 

Submitting and tracking Maintenance Management Index (MMI) Change Management (MCMs) based on standard updates.

Supporting revision of maintenance procedures.

Transitioning finalized documents into the document management system (e.g. formatting drafted standards in pdf and filing, adding vendor deliverables to folder structure, etc.).

Tracking standard or program feedback and escalating concerns appropriately.

Creating and maintaining feedback tooling based on guidance (e.g. Microsoft Forms, Tasks, etc.).

Supporting engineering and design automation tooling and resources. 

Assisting in drafting, review, and publication of temporary instructions.



QUALIFICATIONS

EDUCATION and EXPERIENCE  

High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.

CERTIFICATES and/or LICENSES  

None

COMMUNICATION SKILLS  

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE  

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY  

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES  

Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.

Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).

SCOPE OF RESPONSIBILITY  

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
